Person Specification

We are looking for an outgoing, engaging personality. You will be a hands-on, self-motivated and resourceful individual with the ability to instil and sustain a culture of a quality service. A confident and diplomatic professional who recognises the importance of accountability. Someone with excellent interpersonal, written and verbal communication skills. Someone ideally with experience in Management within a successful business or private members’ club, resort or similar business.

Key Responsibilities:

Office
• Lead & develop a small team of front-line office staff and operational site team to be the best they can be every day.
• Create and inspire a culture of service excellence, personalised member engagement and member/guest satisfaction, including soliciting member feedback and encouraging an environment of inclusiveness, integrity, pride and family values
• Help develop and coordinate the marketing and member-relations plans (including the use of social media and digital marketing)
• Generate solutions to challenges affecting our site’s ability to meet its objectives.
• Identify and clearly define measurable initiatives and present recommendations to our Board of Directors for approval. Be accountable for the delivery of agreed initiatives.
• Act as the site representative with outside authorities and associations where required to ensure the best outcomes for the site.
• Answering complex face-to-face, phone and email queries
• Ordering office supplies
• Data entry; data preparation for reporting; general administrative functions including being GDPR compliant
• General meeting support with ad hoc when necessary minute taking
• Management of caravan suppliers, utilities, including IT & technology suppliers
• Reporting IT issues to relevant support sources & managing through to resolution
• Awareness of CCTV an advantage
• Oversight of new members lists including “Onboarding” new members - sending welcome information which includes site rules
• Collecting & recording compliance documents
• Diary management of a small team of 8
• Calling suppliers chasing invoices and query materials list.
• Reviewing existing processes and procedures to ensure fit for purpose and moving towards a paperless environment,


Finance

• Manage the company budget and regularly review income and costs relative to targets, recommending corrective action where needed to support the Finance Director
• SAGE oversight as and when required support office team in inputs and reporting
• Oversee day to day payments, petty cash, invoicing to allow timely invoicing of suppliers/ members
• Oversee members subscriptions to ensure invoice status information/due date are tracked
• Maintenance and development of reporting processes.
• Assisting with weekly and monthly management reports and variance analysis
• Undertaking ad-hoc projects, financial analysis and duties as guided by the Finance Director
